Who we are

Therapy Visibility is a trade name of Room to Grow LLC, a California limited liability company, at 325 W Washington St #2950, San Diego, CA 92103. You can reach us at admin@therapyvisibility.com. Notices about your service can be sent by email to that address, and we send ours to the email on your account.

The design fee

The design fee is $499, paid once through Stripe when you start. It covers the design and build of a website of up to 10 pages: an agreed design direction, your own copy or drafts we prepare with AI and edit by hand, reviewed by you, and two revision rounds.

Full refund for 60 days from payment, or until you approve a design direction, whichever comes first. After that, the fee is earned.

To ask for a refund, reply to your payment receipt. We send refunds to the card you paid with, within 30 days of your request.

Website setup and support

After payment, set up your account, confirm your email and complete the website setup in the portal. It asks for your brief, reference sites, license details, photos, fees and audience. Your first draft arrives within two business days of completing setup, and you approve a design direction before we build the rest. You can complete this process without a call. If you want to talk through your direction or questions, you can book an optional 30-minute design call.

The fit call

The 15-minute fit call is free. It is for working out whether this service fits your practice. It books nothing and commits you to nothing.

Plans and billing

You can pick a plan when you pay the design fee; only the fee is charged then. At launch you confirm or change your plan and billing and sign the service agreement, and plan billing starts. Billed monthly, Foundations is $149 a month, Visibility is $349 a month and Active Visibility is $599 a month. Billed annually, they are $119, $279 and $479 a month, charged once a year in advance. What each plan includes is listed on the pricing page. Every plan is billed in advance through Stripe. Monthly billing is month to month, with no minimum term.

Monthly billing continues until you cancel. Annual billing renews for another year at the annual rate unless you cancel or switch to monthly billing before the renewal date, and we email you at least 30 days before it renews. We give at least 60 days’ notice of any price change, and you can cancel before it applies. An annual price stays the same for the year you have paid. Service agreements signed before October 22, 2026 keep their original terms.

Canceling and changing plans

Canceling. Cancel at any time by emailing admin@therapyvisibility.com or replying to any receipt. On monthly billing, service ends at the close of the billing month you cancel in and there are no further charges. On annual billing, the year is paid in advance and is not refunded; service runs to the end of the paid year and does not renew. We confirm every cancellation in writing.

Changing plans. On monthly billing, you can move to a larger or smaller plan at any time, and the new price starts with your next bill. On annual billing, you can move to a larger plan at any time and pay the difference for the months left in the paid year; a move to a smaller plan, or to monthly billing, takes effect at renewal. Ask by email or through the portal and we make the change.

If you close your practice. If you close your practice, retire or can’t practice for health reasons, tell us in writing. On annual billing, we refund the unused months.

If we fall short. If we fail to provide what your plan includes and don’t put it right within 30 days of your written notice, you can cancel, and on annual billing we refund the unused months.

Missed payments. If a payment fails, we tell you and try again. If a balance is still unpaid 30 days later, we may pause the service after giving you 7 days’ notice.

What you own

Your domain, photos, logo and the content you give us are always yours and come back to you free whenever you ask. So are your brand assets, your third-party accounts, and the articles and pages we write for you once they are published. Your domain is registered in your practice’s name, even when we register it for you. While you’re a client we manage it in our registrar account, and we send you its transfer code free whenever you ask.

The design and code of your website are ours, licensed to you while you subscribe. The license ends when your service ends. We own our tools, code and components and may reuse them, but never your content or your practice’s identity. Our therapist directories belong to us, and your listing ends when your plan does.

If you leave

If you ever leave, we send your content and page addresses to your next provider within 10 business days: your writing in plain text, your photos and logo, your structured practice information and a list of your page addresses, so your new site can keep them working. There is no charge for this and no transfer fee. The site’s design and code stay with us. We keep your site online for 30 days after your service ends, so you have time to move, and we help you point your domain to the new host.

Content and visibility work

Both visibility plans include one page or profile improved and verified each month. Visibility also includes one article or substantial page improvement each quarter. Active Visibility includes five launch content items and at least one new content item each service month. A content item is an article or a substantial service, state or guide page. Active Visibility also includes monthly Google Business Profile upkeep for an eligible profile you give us access to, and up to 10 agreed directory and platform listings. If your practice can’t have a Business Profile, for example because you work online only, we build pages for the states you serve and add therapist directory listings instead. Paid directory fees are separate, and profile and listing changes depend on your access and each platform’s approval. Articles and content items are in addition to your site’s pages. Publication follows your approval, and an item waiting for approval counts as delivered but not published. We agree the topics, AI-answer sample, directory area and delivery schedule at onboarding. Larger projects require a separate scope.

Fact-only fixes can work differently. If you agree at onboarding, changes built only from facts you have already approved can go live without a separate approval from you. Internal links and structured data generated directly from those facts go live within minutes. Page titles and descriptions are checked by a person on our team before they go live, usually the same day. We list each fix, with who checked it, in your next report. New or changed facts and clinical wording always wait for your approval.

Some discovery approaches are experimental. We describe their purpose, review what we can observe and adjust as we learn. Search positions, AI recommendations, inquiries and bookings are not guaranteed.

Domains and third-party costs

If you need a new domain for your site, we register it in your practice’s name and pay the renewals for as long as you’re a client. This covers one standard domain that costs up to $20 to register, used for the site we build. It isn’t a credit toward any other domain. If a standard domain you want costs more than $20, you can pay the difference or choose another. Premium domains and domains bought from another owner aren’t included. A domain you already own can stay with your current registrar, which keeps billing you for it. When you leave, the domain is yours, and so are its renewals.

Email, paid directories, booking subscriptions and other third-party fees are separate and paid by you.

Payments

Payments are processed by Stripe. Card numbers are entered on Stripe’s page and never reach us.

Your responsibility as a licensee

A therapist’s website is an advertisement under your board’s rules, and you remain responsible for it. We build the disclosure block, the fees and the claims on the site from what you tell us, and we ask you to confirm them before launch.

You confirm that you have the right to use the photos, writing, logos and other material you send us, and that the credentials, license details, fees and clinical statements you approve are accurate.

Limits of our responsibility

We work carefully, but we can’t promise that a website will never be interrupted or contain an error, or that any search or AI result will follow from our work. Our total liability for any claim about our services is limited to the fees you paid us in the 12 months before the claim. This limit doesn’t apply to fraud, willful misconduct or anything the law doesn’t allow us to limit.

If something goes wrong

Please email us first. We reply within one business day and aim to resolve the issue within 30 days. These terms are governed by California law. Disputes go to the state courts in San Diego County, or to small claims court where the amount qualifies.

Changes to these terms

These published terms apply to new agreements. Signed agreements continue to govern existing services. When we change these terms, we update the date below.
